Information we collect

We collect information you provide, including your name, email address, resume, employment and education history, job descriptions, instructions, chosen document language, and messages to us. If you ask us to import a public job-post link, we also process the job details retrieved from that link.

If you use the private application tracker, we may store company and role names, job-post links, application status, dates, follow-up reminders, notes, and the ApplySpan package connected to that entry.

For orders, we keep the selected plan, payment status, transaction identifiers, and billing-related records. Stripe collects and processes card details; ApplySpan does not store complete payment-card numbers.

Why we use information

We use information to create and deliver your requested documents, calculate editorial comparisons, provide interview and career-preparation tools, import a job post at your direction, maintain your private tracker, communicate about an order, provide support, prevent fraud or misuse, monitor reliability, and comply with legal obligations.

Where privacy law requires a legal basis, we process information to perform the service you request, for legitimate interests such as security and reliability, with consent where required, and to meet legal obligations. ApplySpan’s scores are editorial guidance only; they are not used to make an employment, credit, insurance, or other eligibility decision about you.

AI processing and service providers

Resume and job content is sent to OpenAI’s API to generate and review application materials. ApplySpan currently uses stored background Responses API processing so an order can finish reliably. OpenAI states that this workflow may retain response application state for at least 30 days and that abuse-monitoring logs may be kept for up to 30 days by default, subject to legal and security exceptions. OpenAI states that API data is not used to train or improve its models unless the API customer explicitly opts in.

We also use Cloudflare for hosting, database, file storage, and security; Resend for transactional email; and Stripe for payment processing and fraud prevention. These providers receive only the information reasonably needed for their function and process it under their own terms and privacy commitments.

We may also disclose information when legally required, to protect users or the service, or as part of a merger, financing, acquisition, or transfer of the business. We do not sell resumes, personal information, or job-search data, and we do not share them for cross-context behavioral advertising.

Cookies, browser storage, and abuse limits

ApplySpan uses essential browser storage and a first-party cookie to remember your language, carry unfinished first-resume-builder information to the sample form, and recover from a page error. We do not currently use third-party behavioral-advertising cookies.

We receive basic technical information such as device and browser details, referral source, page or error path, and approximate location derived from an IP address through the hosting environment. For free-sample and access-request limits, ApplySpan converts the network address into a one-way SHA-256 fingerprint instead of using the address itself as the limit identifier. Free samples are currently limited to five per network address in a 24-hour period.

Retention and deletion

ApplySpan’s cleanup process removes uploaded resumes, generated documents, job descriptions, and related order records after they are more than 30 days old. Cleanup runs as the service processes activity, so removal may not occur at the exact minute the 30-day period ends. Short-lived private history links expire after 30 minutes.

Private application-tracker entries remain available until you remove them or ask us to delete them; they are separate from order files. Limited payment, tax, fraud-prevention, security, operational-event, and support records may be kept longer when reasonably necessary. Our AI provider may apply its own retention period as described above.

Your privacy choices and rights

Depending on where you live, you may have rights to know or access your personal information, correct it, delete it, restrict or object to certain processing, and receive a portable copy. You may also have the right to appeal a denied request or complain to your local data-protection authority. ApplySpan will not discriminate against you for exercising an applicable privacy right.

Send a request to privacy@applyspan.com and describe what you need. We may ask for information needed to verify your identity and protect private order or tracker data. Because ApplySpan does not sell personal information or use it for targeted advertising, there is no sale or targeted-advertising opt-out to apply.

International processing, security, children, and changes

ApplySpan and its providers may process information in the United States and other countries where they operate. Those locations may have different privacy laws. Where required, we rely on provider contractual commitments and other lawful safeguards for international processing.

We use reasonable administrative and technical safeguards appropriate to the information we handle, but no online service can promise absolute security. Keep private links confidential and avoid uploading highly sensitive information that is unnecessary for an application.

ApplySpan is not intended for anyone under 18, and we do not knowingly collect personal information from children. We may update this policy as the service changes. Material updates will be posted here with a revised effective date.
